Job Opportunity: Hybrid Project Manager / Business Analyst

Position Description
The Hybrid Project Manager / Business Analyst is responsible for managing client relationships and leading the implementation of HCI’s Quality Management Information Systems. The role includes working closely with clients to ensure that systems are configured to meet their operational needs while managing the transition to the account management and support teams post-implementation. This client-focused position also involves ongoing support through identifying opportunities for system optimisation and ensuring a smooth project delivery process.
Responsibilities of the Hybrid Project Manager / Business Analyst
Client Engagement & Project Delivery:
- Build and maintain strong relationships with clients, acting as their primary contact during the project implementation phase.
- Lead client meetings to discuss project status, timelines, and deliverables, ensuring objectives are met and issues resolved.
- Work with clients to ensure the system is tailored to their specific needs, configuring the solution to align with their operational workflows.
- Oversee the initial implementation and system setup, ensuring clients are equipped for successful system usage from day one.
- Manage project timelines, facilitate change control, and ensure artefacts such as project plans and Terms of Reference are accurate and aligned with client requirements.
Business Analysis:
- Engage with clients to gather, document, and prioritise business requirements for system enhancements or customisations.
- Analyse client workflows to identify opportunities for improvement and configure the system to enhance operational efficiency.
- Provide strategic advice and insights to clients on how best to use the system to support their operational and business goals.
Problem Solving & Support:
- Act as the primary problem solver during the implementation phase, resolving any issues by collaborating with internal teams and vendors.
- Identify risks and mitigate issues before they impact the project’s success, maintaining open communication with clients and internal stakeholders.
Training & Formal Handover:
- Lead initial training sessions (both remote and on-site) to ensure clients and their teams are equipped to use the system effectively.
- Formally hand over responsibility for ongoing support and post-implementation training to the account management and support teams.
- Ensure a smooth transition by providing detailed documentation and conducting a handover briefing with internal teams.
- Gather feedback from the training sessions to continuously improve materials and methods.
Adherence to PMO process and collaboration with Internal Teams:
- Adherence to PMO process to ensure project artefacts are accurate and complete, with a focus on aligning them with the client’s objectives.
- Work closely with internal teams, including software development, account management, and support, to ensure seamless project delivery and post-implementation handover.
HCI Quality Management System
- Ensure continued development and implementation of the HCI Quality Management System, and its compliance with applicable regulatory standards, within areas of responsibility.
Experience
Essential
- Proven experience in Project Management and Business Analysis, with a strong focus on client-facing roles and project delivery.
- Excellent communication and interpersonal skills, with the ability to engage with stakeholders at all levels and manage client relationships effectively.
- Strong understanding of Information Systems implementation, including configuring systems to meet specific client needs, preferably in the healthcare or technology sector.
- Demonstrated ability to manage project timelines, changes, and expectations, ensuring a smooth handover to support team’s post-implementation.
- Degree in Information Management, Technology, or Healthcare-related field.
- Full clean driving licence and willingness / ability to travel as required.
Desired
- Experience working with Quality Management Systems, such as Q-Pulse.
- Knowledge of healthcare compliance and regulatory standards.
- Prior experience working with a PMO or similar project governance structures.

- Excellent presentation and training skills, capable of delivering complex information in a clear, accessible way.

Location
Headford, Co. Galway, or Leopardstown Office Park, Sandyford, Dublin 18. Remote working will be offered in line with HCI policy.
Travel
The role includes travel in Ireland.
